Administrative Assistant
Job type: Part time – 21 hrs/week (Full-time job share option available with Bonnyville Chamber of Commerce, Membership Assistant position)
Reports to: General Manager
Effective Date: January 2023
Pay Grade: $18 - $20 based on experience
ACCOUNTABILITY:
Administrative Assistant is accountable to and reports directly to the General Manager or her/his designate.
DUTIES AND RESPONSIBILITIES:
Administrative Assistant shall have the following duties:
· To assist with data entry and database maintenance.
· To develop templates for commonly used documents.
· To ensure to respond to all enquiries internal and external personnel, customers, stakeholders are answered in a timely manner.
· To assist in drafting correspondence, briefings notes as requested.
· Participate in training recommended by the General Manager or her/his designate.
· To provide receptionist services at the Community Futures Lakeland office in Bonnyville with regard to day-to-day operations; process incoming and outgoing mail, maintain administrative, bookkeeping and finance files as per established policies and procedures.
· Attends internal or external meetings as required.
· Work on any special projects as assigned.
· To assist with events.
STANDARDS OF PERFORMANCE:
· Works productively and professionally as a member of the CFL’s team and maintains co-operative working relationships with all CFL staff, partners, agencies and clients.
· Maintains the strictest of confidence with regards to CFL clients, their files or other dealings, and with all personnel and other confidential internal records and proceedings.
· Assigned duties and responsibilities are carried out in a professional and timely manner in cooperation with management and staff as per policies and procedures.
· Demonstrates time management (attendance and punctual) and the ability to prioritize workload efficiently and effectively.
· Willing to acquire new skills and knowledge required to fulfill duties and responsibilities and sees learning and development as part of the job.
· Adheres to CFL policies and procedures.
· Shows good judgment about when to take the initiative and when to obtain direction from the General Manager or her/his designate.
· Works effectively and efficiently with a minimum of supervision.
· Knowledge of and commitment to the mandate and services provided by CFL.
QUALIFICATIONS:
· Post-Secondary education in office administration or relevant experience.
· Strong oral and written communication.
· Good knowledge and experience using word processing and spreadsheet programs an asset; experience with Microsoft Word and Excel programs is preferred.
· Knowledge of or experience working within the Lakeland region.
