We are currently looking for a FULL TIME LEGAL ASSISTANT to join our team.

Our ideal candidate is a team player with a good sense of humor and strong work ethic who can keep pace in our busy office.

The successful candidate will have a proven track record working independently and as part of a group.

They will be flexible, resourceful, and able to manage deadlines and shifting priorities.

Our legal assistants report directly to the lawyers and may take direction from one or more lawyers, as well as provide support for other assistants.

We are looking for someone with excellent time management and communication skills.

File maintenance is a critical component of the role, which may include daily filing, file organization, opening files, closing files, keeping client file lists, and maintaining tracking systems for limitations, follow-up dates and general file activity.

They will be responsible for handling incoming and outgoing email, answering client telephone calls and inquiries, as well as general administrative duties including time entry and bill preparation.

Responsibilities and Duties:

Maintaining the lawyer’s schedule;
Scheduling meetings, conferences, Court dates, and deadlines;
Efficiently maintaining electronic filing systems;
Maintaining a follow-up system to ensure that every deadline is met;
Maintaining and organizing paper and electronic client files;
Maintaining disbursement records for each file;
Receiving calls from or contact new/potential clients to gather initial information;
Receiving and sending packages or letters via Canada Post or couriers;
Preparing binders, briefs, or other pleadings for various levels of Court;
Opening and closing files;
Taking direction from one or more lawyers;

Skills and Experience

Strong oral & written communication skills;
Comprehensive knowledge of legal terminology, court rules, or able to bring themselves up to speed in a timely manner;
Highly organized;
Have respect for confidentiality and discretion;
Ability to work both independently and in a team-based environment;
Having technical sharpness, the ability to pay close attention to details and manage time;
Strong time management ability; and capable of prioritizing tasks.
