The Administrative Technician will work closely with the Executive Director to maintain accurate and well-organized financial records for the organization. This involves administrative work, bookkeeping and managing financial documentation. While the role includes a high level of independent work, the Administrative Technician is a key member of the team and contributes to a positive, collaborative and solution-oriented team environment.
Duties and responsibilities include:
- Financial responsibilities:
- Prepare and post journal entries, reconcile accounts, and maintain accurate financial records.
- Support financial statement preparation in coordination with the external accountant.
- Complete reconciliations, manage GST filing and assist with year-end adjusting entries.
- Track accounts receivable/payable and ensure timely invoicing and payments.
- Payroll responsibilities:
- Process payroll and submit monthly time tracking summaries.
- Process employee expense claims and ensure compliance with internal approved processes.
- Payroll remittance.
- Administrative responsibilities:
- Maintain accurate inventory and asset maintenance records.
- Perform errands such as mail pickups, deposits and supply runs.
- Provide administrative support to the Executive Director and team as needed.
Skills and Qualifications:
- Proficient in systems like Microsoft office software and bookkeeping systems.
- strong attention to detail.
- Strong organizational and time management skills with the ability to prioritize tasks in a dynamic work environment.
- Excellent communication skills (in-person, email and writing).
- Comfortable working independently and with a team.
- Strong numerical aptitude and ability to follow instructions.
Education and Requirements:
- High school diploma
- Related post-secondary education is preferred.
- Legally allowed to work in Canada (i.e. Canadian Citizen, Canadian Permanent Resident or have an existing visa with no work restrictions).
- Any previous work-related experience.
