Travel: Required between Cold Lake and Bonnyville offices (Mileage reimbursed)
Position Summary
The Lakeland Region 2026 Alberta Winter Games is seeking a detail-oriented and proactive Transportation Coordinator to support the planning and execution of all Games-related transportation logistics. Reporting to the Transportation Director, this individual will assist in finalizing transportation contracts, coordinating courtesy shuttle planning, organizing volunteer drivers, and supporting venue-based parking strategies. This is a temporary, part-time hybrid role based in Cold Lake and Bonnyville, Alberta, beginning immediately and ending February 28, 2026. The successful candidate will work 20–25 hours per week, increasing to 35–40 hours per week during the final month leading up to the Games. Regular inter-community travel is required, with mileage reimbursement provided. This position is ideal for a strong communicator with administrative expertise, a collaborative spirit, and a knack for problem-solving under pressure.
Key Responsibilities
Transportation Planning & Coordination
- Assist the Transportation Director in finalizing agreements with internal and contracted transportation providers.
- Support the development of the overall transportation operations plan, including shuttle routes, schedules, and contingency plans.
- Work with sport and venue leads to understand and meet transport needs for athletes, officials, VIPs, and spectators.
Volunteer Driver Management
- Coordinate the recruitment, scheduling, and communication for volunteer drivers assigned to shuttle and courtesy vehicle services.
- Maintain accurate rosters, driving logs, and volunteer transportation protocols.
- Ensure drivers are properly briefed and supported throughout their shifts.
Courtesy Shuttle & Parking Planning
- Assist in developing and communicating parking and traffic flow plans for spectators, volunteers, and Games personnel.
- Liaise with municipalities, emergency services, and venue teams to ensure safety and accessibility.
Administrative & Communication Support
- Maintain and update transportation plans, route maps, schedules, and internal communications.
- Use spreadsheets and digital tools to track logistics, volunteer assignments, and route data.
- Support transportation-related inquiries from stakeholders, participants, and the public.
Qualifications
- Experience in transportation logistics, event coordination, or operations planning.
- Strong administrative and organizational skills with high attention to detail.
- Excellent communication and interpersonal abilities.
- Confident using Microsoft Office, Google Workspace, and digital planning tools.
- Ability to problem-solve in high-pressure, fast-changing environments.
- Self-starter who thrives both independently and as part of a team.
- Prior experience in sporting events, volunteer coordination, or municipal planning is an asset.
- Valid driver's license and reliable transportation.
